2. What this website collects
The contract fit check
Your fit-check answers are processed in your browser to display a suggested starting route. They are not submitted to HR Contracts, saved to a client record or attached to your identity.
When you submit the enquiry form
The enquiry form opens on Google Forms. If you choose to submit it, we may receive your name, contact details, organisation, role and the information you include about your enquiry. Please do not include employee names, medical information, disciplinary or grievance material, trade union information or other sensitive case details at this stage.
When you email or telephone
We receive the contact details and information you choose to provide, together with the normal records created by email and telephone services.
Technical information
Our hosting and security providers may process limited technical information such as IP address, browser, device, requested page, date and time, security signals and error logs. This supports delivery, security and fault diagnosis. The site does not currently use optional advertising or behavioural analytics cookies.
3. Why we use personal information
We use information to respond to enquiries, decide whether we can help, scope and price work, deliver agreed services, manage the client relationship, keep appropriate business and accounting records, improve the service, protect the website and establish or defend legal claims.
Depending on the context, our lawful basis will usually be legitimate interests, taking steps at your request before entering a contract, performance of a contract or compliance with a legal obligation. Where special-category information is genuinely required later, an additional lawful condition will be identified.
4. Who information may be shared with
Information may be processed by providers that support website hosting and security, Google Workspace and Google Forms, email, document storage, payment, accounting and professional advice. It may also be disclosed where required by law or reasonably necessary to protect legal rights.
Some providers may process information outside the UK. Where that happens, we expect an appropriate lawful transfer mechanism and contractual or organisational safeguards to be in place.
5. How long we keep it
We keep initial enquiry information while responding and for a reasonable follow-up period. Client, service and financial records are kept for as long as needed to deliver the work, meet tax, accounting, insurance and other legal obligations, and establish or defend legal claims. Security logs are normally retained for a shorter operational period.
The exact period depends on the type of record and why it is held. Information is deleted or anonymised when there is no longer a lawful business reason to retain it.
6. Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to the use of personal information, to receive portable information, and to withdraw consent where consent is relied upon. These rights are not absolute.
